The Role
The Senior Operations Administrator plays a key role in supporting ParaUnion’s global sourcing, procurement, and e-commerce operations. You will help coordinate with suppliers, track shipments, manage documentation, organize data, and support our private-label and multi-channel selling initiatives. This is a detail-focused, fast-paced role where precision, communication, and follow-through directly impact our ability to deliver reliable global trade solutions. You will be part of a growing team committed to efficiency, quality, and continuous improvement.

Supports quality-control and compliance workflows smoothly

Responsibilities
Coordinate daily communication with suppliers, manufacturers, logistics partners, and internal teams
Track purchase orders, production timelines, and shipment schedules to ensure on-time delivery
Prepare, organize, and maintain operational documents including invoices, POs, QC reports, and product data
Assist with product sourcing tasks, supplier onboarding, and price/MOQ negotiations
Update and manage spreadsheets, internal dashboards, and operational records with high accuracy
Perform quality-control follow-ups and ensure compliance requirements are met
Support private-label development by gathering product data, packaging details, and specification sheets
Monitor logistics movements, follow up on tracking discrepancies, and resolve minor operational issues
Collect and compare quotations for freight, suppliers, and service providers
Assist with e-commerce operations including catalog updates, SKU listing preparation, and documentation for Amazon/Shopify/Walmart
Maintain organized digital files using Google Drive, Sheets, and other productivity tools
Support the creation of internal reports and weekly operational summaries
Communicate proactively to identify issues early and escalate when needed
Contribute ideas to improve workflow efficiency, automation, and process reliability
Qualifications
Bachelor’s degree or equivalent experience in business administration, operations, supply chain, or related field
Proven organizational and multitasking skills with strong attention to detail
Excellent written and verbal communication skills
Proficiency in spreadsheets (Excel, Google Sheets) and basic data analysis
Comfortable using project management and collaboration tools (Trello, ClickUp, Slack, etc.)
Ability to work independently and manage multiple priorities in a fast-paced environment
Experience in operations, procurement, logistics, or e-commerce is a plus
Familiarity with global sourcing, supply chains, or online marketplaces (Amazon, Shopify, Walmart, TikTok Shop) is an asset
Problem-solving mindset and willingness to learn and adapt to new processes
